Applicant privacy notice
This notice explains how we use your information when you apply for a role with us.
Who we are
Wilton Property Partners is a trading name of Beng Residences Limited, registered in England and Wales, company number 15866497. Our registered address is Office 204, 10 Courtenay Road, Wembley, London HA9 7ND. Beng Residences Limited is the data controller for your application, and is registered with the Information Commissioner’s Office under number ZC253691. You can contact us about your information at contact@wiltonpp.com.
What we collect
- Your name, email address and telephone number.
- Your education: your highest qualification, university, course and the year you finished or expect to finish.
- Your work experience, as you describe it, and your CV.
- Your LinkedIn profile, if you choose to share it.
- Whether you have the right to work in the UK, and how you heard about the role.
- Video and audio recordings of your answers to our interview questions.
- Technical information needed to make the recording work, such as your browser type. Practice recordings stay on your device and are never sent to us.
We do not ask for your age or date of birth. Please do not include health information, religious or political beliefs or other sensitive details in your CV or answers unless you want us to know them.
How we use it
We use your information to assess your application, to contact you about it, to arrange any further interviews and, if we make you an offer, to set up your role. If we make you an offer, we will ask to see documents confirming your right to work in the UK. Our lawful basis is our legitimate interest in recruiting suitable people, and the steps needed before entering into a contract with you at your request.
Screening
When you submit your details, our system checks some of your answers against the minimum requirements for the role. For the internship these cover your level of education, your university, when you finished or expect to finish your degree, and your previous work experience. Applications that do not appear to meet these requirements are flagged. A member of our team reviews every flagged application before any decision is made. No application is rejected by the system alone. If you think we have reached the wrong decision, email contact@wiltonpp.com and someone who was not involved will look at it again. We do not use facial analysis, voice analysis or artificial intelligence to assess your video answers. They are watched by people.
Who sees it
Your application is seen only by the members of the Wilton team involved in recruitment. When an application is flagged, a short alert is posted to a private internal channel. It shows your first name, last initial, university, graduation year and the reason for the flag. It never includes your contact details, CV or videos. The following providers process your information on our behalf:
- Lovable, for website hosting, the database and the secure storage of your CV and video recordings
- Cloudflare, for website delivery
- Google, for our email, and Resend, for the email confirming we have received your application
- Discord, for the internal alert described above
We do not sell your information or share it with anyone for their own purposes.
Where it is held
Some of our providers operate outside the United Kingdom, including in the United States. Where your information is transferred outside the UK, we rely on the safeguards those providers have in place, such as the UK International Data Transfer Addendum or an adequacy decision.
How long we keep it
If your application does not go ahead, we delete your details, CV and recordings 6 months after we tell you our decision. If you start but do not submit an application, we delete it after 30 days. If you join us, your application becomes part of your staff record. We will not keep your details for future roles unless you ask us to.
Your rights
You have the right to ask for a copy of the information we hold about you, and to have it corrected, deleted or restricted. You can also object to how we use it, ask for it in a portable format, and ask for a person to review any decision about your application. To use any of these rights, email contact@wiltonpp.com. We will respond within one month. If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
